Forever Costa Rica

Engaging a new audience and increasing reach

Forever Costa Rica came to us for their “Harnessing the power of nature for climate change adaptation and resilience” event because we’d already run a number of successful virtual events for them. We developed a bilingual event website, designed and delivered email campaigns as well as managing all organisation and facilitation.

This bilingual event was a collaboration between Forever Costa Rica Association and the British Embassy Costa Rica and was inaugurated by Anne-Marie Trevelyan, who is UK International Champion on Adaptation and Resilience.

Because this was a bilingual project we needed to create a website in both Spanish and English. As the focus was “Harnessing the power of nature for climate change adaptation and resilience” we worked hard to develop a graphical concept and imagery which supported the key themes.

Our Approach

We took a highly consultative approach which included meetings to understand event objectives, delivering constructive suggestions on framing and shaping and structuring the sessions and formats.

The brief included website development and our good relationships with the partners facilitated the coordination and development of the website with both event partners. Our work included the strategy, design, and build. Given the global nature of the event we ensured that the site complied with all the relevant data requirements.

Speaker training and coordination requires a high level of industry knowledge and a strong network. Fortunately, because of our experience organising and running virtual events, such as the Virtual Island Summit and the Island Finance Forum, we were able to effectively brief and train speakers. Having such a fantastic panel of speakers who delivered engaging panels ensured the agreed attendance target was reached and online engagement during the event.

Over the years we’ve refined our approach to running virtual events. Our detailed project management plan ensured the event, which included booking and briefing translators, went off without a hitch.

Each virtual event we run for clients is bespoke to their needs and for Forever Costa Rica the support included:

  • Fully bilingual support and event execution (English/Spanish)
  • Development of a strategic work plan based on platform optimisation including technical and logistical actions and key milestones
  • Facilitation of project meetings and project management
  • Collation of speaker pictures and adding to the website
  • Event set up including creation of Zoom sessions and calendar management
  • Marketing emails including ticket confirmation, email reminders and session overviews
  • Speaker communication support including adding speakers to sessions, sending joining instructions, conducting speaker preparation training
  • Full tech support for entire event including monitoring and contributing to chat panel
  • Audience integration into MailChimp
  • Collating post-event data including audience attendee figures and the event recording which was used to create a post-event summary report
